Customer follow-up & office workflows

Make the next step easier to follow through.

Start with one repeatable process that causes delays or extra work. We examine how it works today, use existing software where possible, and implement a clearly scoped improvement.

Work worth improving

Quote follow-up preparation

Organize open quotes from an approved source, identify the items your staff should review, and prepare follow-up drafts for approval.

Incoming requests

Turn an agreed intake source into a structured list of requests, missing information, and next actions, with a person responsible for review.

Office handoffs

Help your staff turn approved notes into a consistent handoff or task summary, reducing the need to reassemble the same information.

These are possible project directions, not installed features or claims of measured results. The fit depends on your information, software capabilities, and process.

A pilot with a defined finish line

Typical project range: $750–$1,500. We provide a fixed quote after assessment. The pilot covers one agreed process with specific inputs, outputs, tools, and acceptance criteria. It does not include every automation your business may eventually need.

  1. Map: Record the current steps, who owns them, and a baseline such as time spent preparing a follow-up list.
  2. Scope: Agree on the data source, permitted actions, exceptions, review steps, and what success will mean.
  3. Implement: Configure the supported workflow and any explicitly quoted connections.
  4. Test: Check representative cases, missing information, access errors, and duplicate handling where relevant.
  5. Handoff: Provide usage notes, training, and 14 days of online corrections to the agreed deliverable.

AI assistance and automation are different

An assistant can prepare a message when your staff asks it to. An automation responds to a defined trigger or schedule and may interact with another system. That adds requirements for access, reliability, error handling, duplicate prevention, and oversight.

We agree on approval steps before enabling actions. If the task can be solved with a feature already in your software, we recommend that first. If AI adds no useful value, we say so.

Can you work with Jobber or QuickBooks?

We assess Jobber, QuickBooks Online, Housecall Pro, CRMs, email, calendars, and file platforms against the specific task. App names alone do not establish integration feasibility. We check your plan, supported access method, permitted data, and whether the required action is available.

Custom APIs, accounting configuration, migration, unsupported connections, and two-way synchronization are not included by default. Complex projects may exceed the pilot range or be unsuitable; you receive an explicit scope and quote before committing.

After the pilot

We compare the agreed result with the baseline and decide whether another improvement is worthwhile. Software fees, ongoing monitoring, maintenance, and new features are quoted separately. Additional NYC visits for the original agreed work are $100 for up to two hours, with area and scope confirmed first.

Explore illustrative workflow examples or start with AI setup and team training if your staff mainly needs help using the tools.
